Business Challenge
As a big company, our client had a lot of internal documents to be quickly distributed to the employees and have easily accessed at any time. These documents provide the knowledge base for various groups, such as technical and marketing, the information on upcoming events, internal regulation orders or other time-critical information. Using the corporate email along with sharing the Word documents in a file server was not enough to provide a document flow for a big company. There was a need in an effective way to publish those documents in a unified format in single data storage and in providing the worldwide-distributed departments with an online access to those data.
Solution
Intranet Corporate Employee Portal has been implemented using MS Content Management Server. It provides the categorized storage and access for thousands of documents of different nature. Among them are Company News, Internal Regulation Documents and Orders, Company Services information, Staff Education programs, Technical documentation, Legal consultations and many other resources. Flexible role-based security model allows controlling the administrative access to each resource. The sophisticated document search is implemented via SharePoint Portal Server that crawls and indexes all content accessible from the Portal. In addition, the Content Management Server roles-based distributed publishing model incorporates automatic content scheduling and archiving. This feature enables a content provider to potentially submit an entire month's worth of articles, set an expiration date for each article, and have articles removed from production at the appropriate time and archived automatically.

Benefits
Once the Corporate Portal was implemented, the workload of all the parties involved in providing the content was dramatically reduced, since the publishing became really easy. Having template-based publishing capabilities, the Portal allowed non-technical content providers easily maintain the document storage and kept all the publications in the same style of look and feel. The people, who used to convert content into HTML before publishing had to find some other job. The built-in workflow capability has significantly decreased the documents approval cycle, which used to take even more time than creating the document itself. Because the system was based on the ready-to-use Content Management Server, it guaranteed quick deployment of the overall solution.
